Position Overview

The operations assistant will report directly to the Operations Manager. You will be responsible for assisting the Operations manager with administrative tasks. This is an excellent opportunity for someone who is a team player, highly organized, and comfortable working remotely.

Specific Duties Include:

  • Working closely with the operations manager to oversee daily business operations
  • Working with operations manager to develop standard operating procedures
  • Assisting in tracking monthly invoices
  • Preparing, filing and Maintaining files
  • Assisting with recruitment process
  • Taking inventory and ordering office supplies as needed
  • Analyzing all operations and reviewing suggestions for improvement with manager
  • Ability to handle confidential information
  • Providing assistance on various projects and activities
  • Ability to organize and establish administrative procedures independently, draft correspondence, reports and work well under pressure
  • High level of proficiency on Microsoft Office Suite, Outlook, Advanced Excel, SharePoint and PowerPoint

Skills and Qualifications

  • Associates Degree or related work experience
  • Must have excellent communication skills, both verbal and written
  • Must be available during normal business hours (8am – 5pm)
  • Consummate team player with a great attitude who is happy to assist with all projects
  • Strong discretion and integrity handling confidential information
  • Must move projects to timely completion working with multiple busy executives who have competing priorities
  • Excellent organization and time-management skills, including ability to multi-task, continually re-prioritize, and self-manage deadlines
  • Must be a self-starter
  • Meticulous attention to detail with proven ability to work in fast-paced, ever-changing environment
